Why a Contractor is Missing Work Orders

This article explains why a work order you created may not appear in a contractor's mobile app, even after you've assigned it to them.

You created a work order and assigned it to a contractor, but they say no work orders are appearing in their app. This is the most common surprise in Sitefotos work orders, and it usually has one of two causes.

Cause 1: The contractor is not on the site

Site access and work order assignment are two separate things.

  • Site access decides whether the site, and anything on it, shows up in the contractor’s app at all. It comes from the site’s contractor assignment, not from the work order.

  • Work order assignment decides who the job is for. A work order is a form tied to a site plus an assignment. It does not carry site access on its own.

So a work order assigned to a contractor who is not on the site is invisible to them. Fix it by assigning the contractor to the site as well. When both are in place, the work order appears.

Cause 2: The scheduled date is in the future

A work order with a future scheduled date stays in the Scheduled status and its form stays inactive until that day arrives. This is by design: you can load next week’s jobs today and the field only sees them on their day. When the scheduled date arrives, the work order opens and shows up automatically.

Quick checklist

  1. Is the contractor’s company assigned to the site?

  2. Is the work order assigned to the right contractor?

  3. Is the scheduled date today or in the past?

  4. On the phone: Is the user signed in with the right email and Company ID, and the app freshly reopened?
