Photos: How to Manage Your Dashboard

Finding, tagging, and sharing field photos.
Overview
The Photos module is the searchable gallery of every photo your crews capture in the field. Each time a crew submits a service form or takes a before/after picture in the mobile app, that photo lands here — automatically stamped with the site, the person who took it, and the date and time. Photos is where the office finds proof of service, tags images for later retrieval, and shares them with clients.
Photos are read from the same records that drive Service History and Forms, so a photo you see here is tied to the exact service it documents.
Opening Photos
Sign in to Sitefotos in your browser.
In the left navigation menu, click Photos.
The gallery opens showing the most recent photos first, newest at the top-left.
The Gallery at a Glance
Photos are shown as a grid of cards. Each card is one photo and displays a thumbnail, the site name it belongs to, and the date, time, and time zone it was captured (for example, 06-22-2026 12:20 PM MDT). Click any card to open the full photo.
Filter bar (top of the screen)
The controls across the top narrow the gallery so you can find a specific set of photos quickly.
Control | What it does |
Sites | Filter the gallery to one or more sites. Start typing a site name to search. |
Search | Free-text search across photo details. |
Forms | Show only photos captured through a particular service form (e.g. Snow Removal, Landscaping). |
Date | Limit the gallery to a date or date range. |
Keywords | Filter by the tags applied to photos (see Photo Actions). |
View toggle | Switch the layout between grid (thumbnails) and list view, using the icon at the far right. |
The Photo Detail View
Click a photo card to open the photo detail panel. The photo appears on the left with its metadata and actions on the right.
Element | What it does |
Previous / Next arrows | Move through the gallery one photo at a time without closing the panel. |
Rotate left / Rotate right | Turn the image 90° so it displays the correct way up. Save to keep the new orientation. |
Sites | The site this photo is attached to. Use the dropdown to reassign the photo to a different site. |
Photo Description | A free-text caption for the photo. |
Taken On | The date and time the photo was captured (read-only). |
Taken By | The user who captured the photo (read-only). |
Photo Tags | Keywords you apply for filtering and retrieval (see below). |
Share — Pinterest / Facebook / LinkedIn | Post the photo to a connected social account. |
Download | Save the photo to your computer. |
Delete | Permanently remove the photo. |
Save | Commit any changes (site, description, tags, rotation). Nothing is saved until you click this. |
Photo Actions
Tags (keywords) make photos easy to find later. In the detail panel, type into Photo Tags to add one or more keywords — for example “before”, “after”, “damage”, or “ice” — then click Save. Once tagged, you can pull every photo with that keyword from the gallery using the Keywords filter.
You can also fix which site a photo belongs to. If a photo was tagged to the wrong property — or came in Untagged because it was captured outside any site’s geofence — open it, use the Sites dropdown to choose the correct site, and click Save.
Sharing Photos with Clients
From the detail panel you can share a single photo directly to a connected Pinterest, Facebook, or LinkedIn account, or Download it to attach elsewhere (such as an email to a client).
Beyond sharing one photo at a time, you can package photos into a PDF report — laid out either one photo per page or four photos per page — for a clean, printable record to hand a client. You can also email photos on the spot, sending the photo or report straight to the client from SiteFotos without leaving the screen.
Social sharing requires the relevant account to be connected under API Integrations → Social Media.
For automatic client delivery, enable Auto Share Photos on the site record so every new photo at that site is shared with the assigned client without any manual step.
