Live Map: Keep Up With your Field Team
Last updated
Monitoring sites, tracking activity, and reporting services in real time.
What Live Map Is
Live Map is SiteFotos' real-time operations map. Every site in your account appears as a colored pin, and the color tells you, at a glance, whether work has been reported there inside the time window you choose. Use it during an active event to see which sites have been serviced, which are in progress, and which still need attention - all on one screen.
Beyond watching activity, Live Map is also a place to act. From any pin you can open the site's profile, raise a service request, or submit a service form on the spot. Overlays add weather context (snow forecast and observations) and show where your field users and vehicles are.
Who uses it: dispatchers and operations managers monitoring a storm or route day, account managers checking client coverage, and office staff logging work that comes in by phone.
Opening Live Map
Sign in to SiteFotos in your browser.
In the left navigation menu, click Livemap.
The map opens centered on your sites, with the toolbar across the top and the status legend in the lower-right corner.
The Live Map Screen at a Glance
The screen has four main areas:
Top toolbar - filters and controls that change what the map shows (site search, trade, layers, forms, routes, time window, filters, and refresh).
The map - colored pins for every site. Click a pin to open that site's panel.
Status legend (lower-right) - the three status colors with a live count of how many sites are in each state.
Basemap toggle (lower-left) - switch between Street and Satellite views; zoom buttons sit just above it.
Reading the Pin Colors
Each pin's color reflects whether a service has been reported at that site within the selected time window. The legend in the lower-right keeps a running count of each status.
Pin color | Status | What it means |
|---|---|---|
Red | No Activity | No service has been reported at this site within the selected time window. These are the sites that still need attention. |
Green | Activity | A service has been reported and is in progress / recently logged at the site. |
Blue | Completed | A completed service has been recorded at the site within the time window. |
Toolbar Controls
The toolbar runs along the top of the map, left to right. Each control narrows or changes what the map displays.
Control | What it does |
|---|---|
Select Site | Opens a searchable list of all sites (Site Name, Address, City, State, Client). Pick one to jump the map straight to it. |
Trade: All | Filters pins by trade. The list is specific to the trades set up for your account (for example: All, Fencing, Fleet, Landscaping, Snow removal). |
Auto-refresh (timer icon) | Toggles automatic data refresh on/off so the map updates on its own during an active event. |
Layers | Turns map overlays on/off: Snow Forecast 24/48/72 Hours, Snow Observations, Field Users, Traffic Cameras, and Vehicles. |
Forms | Filters pins by which service form applies (e.g., Landscaping, Snow Removal) - useful for seeing coverage of a specific service. |
Routes | Choose named routes to display on the map. Each route has a category, status, and color; a Show only selected routes toggle isolates them. |
Time window (e.g., Past 6 Hours) | Sets the activity window: Past 30 Minutes, 1, 2, 3, 6, or 12 Hours, Past Day, 2 Days, 4 Days, or Past Week. |
Filters | Multi-field filtering: State, Zone, Client, Contractor, Form(s), Contract Type, Internal Manager, and Internal Manager Secondary. Save a combination as a reusable Preset. |
Force Refresh | Reloads the map data immediately. |
Help (?) | Opens in-app help, including a quick tutorial video and a 4-step walkthrough. |
Filters and Presets
The Filters panel lets you combine several conditions at once - for example, a single client in one state serviced by a particular contractor. Once you have a combination you use often, save it as a Preset so you can reapply it in one click later.
Click Filters in the toolbar.
Set any of the fields: State, Zone, Client, Contractor, Form(s), Contract Type, Internal Manager, or Internal Manager Secondary.
Click Save to store the combination as a Preset, or pick an existing Preset from the dropdown at the top of the panel.
Map Layers
Layers add context on top of your site pins. Snow layers are especially useful during winter operations.
Snow Forecast 24 / 48 / 72 Hours - predicted snowfall over the next 1-3 days.
Snow Observations - a snow-depth heatmap of recorded accumulation (banded ranges such as 1-2, 2-3, up to 10+ inches).
Field Users - the current location of your field staff.
Vehicles - the current location of tracked vehicles. This requires a connected fleet API; without one, no vehicles will appear.
Traffic Cameras - nearby traffic camera points for road conditions.
Working with a Site
Click any pin to open the site panel on the right. The orange header shows the site name and two action icons; the body shows the site's recent activity (or No recent activity if nothing has been logged in the window).
Icon | Action |
|---|---|
Info ( i ) | Opens the site's full profile page (in a new tab) - details, history, photos, and settings. |
Web Form ( clipboard ) | Opens the Web Form panel to report a completed service at this site. |
When a service has been reported, the panel lists each activity - the form submitted plus its individual line items - with the contractor or employee who reported it and a timestamp. A share icon on an activity lets you forward it.
Reporting a Service (Web Form)
Reporting through Live Map is a secondary option - services should normally be reported by the field crew through the SiteFotos mobile app. The Web Form is for the case where the person monitoring Live Map sees a site that does not appear to be completed and the field worker confirms they forgot or failed to report it, and an admin or manager records that service for the field tech. Submitting a Web Form records the service and updates the site's pin status, so the map reflects coverage in real time.
Step by Step
Click the site's pin, then click the Web Form (clipboard) icon in the panel header.
In the Web Form panel, the Site is already filled in. Choose a Form from the dropdown.
Fill in the form's fields (these vary by form - see below).
Choose a contact (the person who performed the work). Switch between the Employee and Contractor tabs, check the row for the right person, and confirm.
Set the required date/time field(s) - a check-in and check-out time, or a single submission time, depending on the form.
Click Submit. A confirmation appears and the site's pin updates on the map.
Forms Available
The forms available are built in Form Builder and are specific to each account, so your list will differ. Choose the form that matches the work performed, and the form fields update to match your selection.
Logged Service Example - Snow Removal
Open a site's Web Form and select Snow Removal.
Check the work performed (e.g., Plow Lots, Salt Parking Lot, Salt Walks).
Select the contact who did the work (Employee or Contractor tab).
Set the Check-in time and Check-out time (the calendar defaults to the current date and time).
Click Submit. The site now shows the logged service, and its pin reflects the new status.
Common Workflows
Monitoring an Active Snow Event
Turn on Auto-refresh so the map updates on its own.
Set the time window to match the event (e.g., Past 6 Hours or Past 12 Hours).
Set Trade to Snow removal to focus on snow sites.
Optionally turn on the Snow Observations or Snow Forecast layers for context.
Watch the legend: red pins are sites still needing service; completed pins are covered.
Checking One Client's Coverage
Open Filters and choose the Client (add State or Contractor if needed).
Save the combination as a Preset for next time.
Scan the map for red pins among that client's sites.
