Getting Started with Sitefotos

Sitefotos connects your office and your field crews around three building blocks: the sites you service, the people who do the work, and the forms they complete on site with photos and times attached. Set those three up, in that order, and the platform starts working for you.

How the Pieces Fit

  • Sites are the properties you service. Everything in Sitefotos happens on a site.

  • People live under CRM: employees on your own team, contractors who work for you, plus your clients and companies for reference.

  • Forms are what the field fills out: inspections, service confirmations, checklists. You design them once; crews complete them on site with photos, and every completion carries check-in and check-out times.

  • The mobile app is where field crews see their sites and forms, check in, and submit work. The backoffice on www.sitefotos.com is where you set everything up and watch results.

Step 1: Add your Sites

Open Sites in the backoffice and create the properties you service, with a name and street address. Sitefotos places each site on the map from its address automatically, which later powers maps and location-aware features in the app.

Step 2: Add your People

Under CRM, add Employees for your own team and Contractors for outside crews, each with the email address they will sign in with. Then send each person their welcome email from Sitefotos: employees receive a website login with a password, and contractors receive the mobile app link with the Company ID they sign in with.

Step 3: Build your First Form

Open Form Builder and create the form your crews should complete, for example a service confirmation with before and after photos. Two settings decide who can use it: the sites the form is attached to, and who it is shared with, which can be everyone, employees only, contractors only, or specific people.

Step 4: Get the Field Signed In

Crews install the Sitefotos app from the App Store or Google Play and sign in with their email address and your Company ID. When they open the app they see the sites they are assigned to and the forms shared with them.

Step 5: Watch the Work Come In

As crews check in, complete forms, and add photos, the results land in the backoffice (web account) as they happen: photos under Photos, logged services under Service History, and everything reportable under Reports.

Optional Layers to Grow Into

  • Routes curate exactly which sites and forms each crew sees, in what order. When routes are active, they drive the app.

  • Workorders dispatch a specific job at a specific site to a specific contractor, with a scheduled date and its own status flow.

  • Time Tracking adds clock-in and clock-out around the workday, alongside the per-visit check-ins.
