Limit Which Sites an Employee Can See (Mobile App and Website)
Last updated
Last Updated: November 2026
Intro
Some employees, such as satellite crews or regional staff, should only see the sites they service. Sitefotos controls this in two separate places: routes control the mobile app, and site restriction controls the website. Set up both if the employee uses both.
Before you start
The person needs an employee record (CRM > Employees) with the email address they will sign in with. Mobile app settings on the employee card don't apply to anyone who signs in with your Company ID and an email that isn't on an employee record.
The sites they will service must already exist in Sites.
Part 1: Mobile app (routes)
Go to Routes and click New Route.
Name the route, add the employee's sites with the + button, and make sure Active is on.
Under Route is assigned to, select the employee, then click Save.
Open the employee's record in CRM > Employees.
In the Routes section, uncheck Default Site List and confirm the new route shows as assigned. Click Save.
Result: The app shows only the sites on routes assigned to this employee. If you later give them more routes, or check Default Site List again, they will see more.

Part 2: Website (restricted web access)
Click your avatar (top right), choose Settings, and open the Permissions tab.
Click + next to User Permissions.
Select the employee, set a password and default page, and choose a User Role.
Check Restrict user to assigned sites, then click Save.
Assign the employee to their sites: open each site in Sites and add the employee as one of the site's Internal Managers, then save the site. For many sites, use the bulk method [Confirm in app].
Result: When the employee signs in to the website, they see only the sites where they're an Internal Manager. Their role still controls which modules and actions they can use.
Screenshots: the Add User dialog with Restrict user to assigned sites checked; the site detail page with the Internal Managers fields highlighted.
Check the setup
Ask the employee to sign out of the app and sign back in with the email on their employee record and your Company ID.
In CRM > Employees, the Web Accounts view should list them.
If a site is missing in the app, see Why is a Site or Form Not Showing in the Mobile App?
